St Pete Pride is hiring an Office Manager/Executive Assistant position at the St Pete Pride office.

About St Pete Pride: St Pete Pride is a 501(c)3 non-profit organization dedicated to creating safe, inclusive events for the LGBTQ+ population in the Tampa Bay Area.  Since St Pete Pride’s creation in 2003 the organization has hosted 21 Pride Celebrations.  As the largest Pride in the Southeast our events reach over 500,000 individuals in June.  In addition to Pride Month, St Pete Pride hosts events quarterly, works with community advocates, and creates relationships with community partners.

Purpose of the Role: The Office Manager/Executive Assistant is a key role supporting the overall functions and success of the organization.  You will be responsible for a variety of administrative and operational functions in support of the Executive Director and the Board of Directors.  This position reports directly to the Executive Director.  This is a part time position from July-February averaging 15-20 hrs/week.  During Pride’s peak season, March - June, hours will increase, up to 40/hrs a week.  This is an in office position, hours are flexible to your schedule. 

Core Job Responsibilities:
Office Management and Administration
Coordinating insurance needs including event insurance and applicable COI’s Maintaining accurate supply records and ordering supplies when needed
Responding to emails and phone call inquiries/complaints
Preparing letters, presentations, and reports
Maintaining storage unit/record of contents
Updating and maintaining of organization records
Collection and delivery of receipts to Financial Director
Pride Specific Responsibilities
Coordinate with vendors for Pride events
Approving event participant applications and responding to questions
Coordinate and point of contact for artist/entertainment transportation, travel, and hotel accomodations
Working with the Executive Director on permits and licenses
On-site walkthroughs for events
Ordering Pride related supplies
Venue and vendor research
Availability to work all St Pete Pride events as needed, dates/times to be mutually agreed upon
Executive Assistant Responsibilities
Arrange meetings for Executive Director and Board of Directors (Board Meetings only)
Organize travel for Executive Director’s events/conferences
Assist with event planning operations when needed
Draft, review, send communications on behalf of the Executive Director
Communicate information from emails/calls to the Executive Director
Other tasks as assigned

Qualifications/Skills
Required
GED or High School Diploma
Excellent written and verbal skills
Attention to details
Interpersonal skills
Proficient with Google’s office suite, including email, docs, sheets, slides
Ability to adapt to new software and platforms
Customer Service Experience
Desired
Basic web design skills
Project management experience
Event logistics or operations
3-5 years previous office experience, preferably for a non-profit organization

Position is hiring for $20/hour.  Benefits include paid holidays, 40 hours paid leave, and 2 weeks paid time off (at 20 hrs) during office closures, first week of July (may shift) and week of Christmas.
